AI for Authors Circle is a trading name of Draft2Book LLP (registered in England and Wales, number OC455633). In this policy, “we”, “us” and “our” refer to Draft2Book LLP.

We take your privacy seriously. This policy explains what personal data we collect, why we collect it, how we use it, and what rights you have. It applies to all visitors and members of aiforauthorscircle.com.

1. What data we collect

We may collect and process the following personal data:

Account and membership data: your name, email address, and password when you register for an account or purchase a membership. If you join through a social login, we receive the name and email associated with that account.

Payment data: payments are processed securely by Stripe. We do not store your full card number, expiry date or CVV on our servers. Stripe may share a transaction reference, the last four digits of your card, and billing country with us so we can manage your subscription.

Community data: any content you post in the AI for Authors Circle community spaces, including discussion posts, comments, profile information, and course progress.

Communication data: your email address and interaction data (such as opens and clicks) when we send you emails through our email system (FluentCRM).

Technical data: IP address, browser type, operating system, referring URL, pages visited, and visit duration. This is collected automatically through server logs and cookies.

2. Why we collect your data

We use your personal data for the following purposes:

To provide our services: creating and managing your account, giving you access to membership content, courses, and community spaces, and processing your payments. Legal basis: performance of a contract.

To communicate with you: sending transactional emails (payment receipts, password resets, membership updates) and, where you have opted in, marketing emails about new content, courses, or offers. Legal basis: legitimate interest (transactional) and consent (marketing).

To improve our site and services: understanding how visitors use the site so we can improve content, navigation, and performance. Legal basis: legitimate interest.

To protect our site: detecting and preventing fraud, spam, or abuse. Legal basis: legitimate interest.

3. Cookies

Our site uses cookies to keep you logged in, remember your preferences, and understand how you use the site. Essential cookies are required for the site to function. Analytics cookies help us measure traffic and improve the experience.

You can control cookies through your browser settings. Disabling essential cookies may prevent parts of the site from working correctly.

4. Who we share your data with

We do not sell your personal data to anyone. We share data only with the following third parties, and only to the extent necessary to operate our services:

Stripe — payment processing. Stripe acts as an independent data controller. See Stripe’s privacy policy.

Cloudflare — site security, performance, and DNS. See Cloudflare’s privacy policy.

Hosting provider — our web hosting provider stores site data, including your account information, on secure servers.

All third-party processors are required to handle your data in accordance with applicable data protection law.

5. How long we keep your data

We keep your account data for as long as your account remains active. If you cancel your membership, we retain your data for up to 12 months after cancellation in case you choose to return, after which it is deleted unless we are required by law to keep it longer (for example, financial records must be retained for six years under UK tax law).

Email marketing data is kept until you unsubscribe, at which point we remove you from our mailing lists.

Community posts you have made may remain visible after account deletion unless you request their removal.

6. Your rights

Under UK data protection law (UK GDPR), you have the right to:

Access — request a copy of the personal data we hold about you.
Rectification — ask us to correct inaccurate data.
Erasure — ask us to delete your data, subject to legal obligations.
Restriction — ask us to limit how we use your data.
Portability — request your data in a machine-readable format.
Object — object to processing based on legitimate interest.
Withdraw consent — where processing is based on consent, you can withdraw it at any time.

7. Data security

We use SSL encryption across the entire site. Payments are handled by Stripe, which is PCI DSS Level 1 certified. Access to personal data is restricted to authorised personnel only. We regularly review our security measures.

No method of transmission over the internet is completely secure. While we take reasonable steps to protect your data, we cannot guarantee absolute security.

8. Children

Our services are not directed at anyone under the age of 18. We do not knowingly collect personal data from children. If we become aware that we have collected data from someone under 18, we will delete it promptly.

9. Changes to this policy

We may update this policy from time to time. If we make significant changes, we will notify members by email. The “last updated” date at the top of this page shows when the policy was last revised.
